Understanding the New Analytics Feature in the Admin Panel (Beta)

The new Analytics feature in the admin panel provides insights into user activity, including total monthly sessions, unique users, most opened files, and search terms. This beta feature allows data export and is being improved.

Accessing the Analytics Feature
To access the analytics feature, follow these steps:

  1. Navigate to your admin panel.
  2. Click on the Analytics tab in the menu. This will open a separate page displaying various metrics related to user activity on your platform.

Metrics Overview
The analytics page offers four primary metrics. Please note that these metrics may vary slightly depending on whether you are an organisation admin or a department admin.

1. Total Monthly Sessions

This metric shows the total number of sessions where users have accessed your app. A session is counted each time a user opens the app, with typical sessions lasting between two to five minutes. From our observations, most users access the platform to find a document and typically close the app within two minutes.

2. Unique Monthly Users

This metric counts the unique users who have accessed the app in the given month. If a user accesses the app multiple times, they will only be counted once, providing you with an accurate overview of how many individual users are engaging with your platform.

3. Sessions with File Opens

This metric shows the number of sessions where a file was opened. It breaks down the data by file name, helping you identify the most frequently accessed files within your platform. Please note that this metric counts only a single file opening per session, even if multiple files are opened by the same user during the session.

We are working on a future update to improve this feature, allowing for a more detailed count of individual file opens.

4. Search Terms Used

This section displays the most commonly used search terms by users, along with the number of times each term was used. You can also export this data to a CSV file for further analysis. This metric provides valuable insights into what users are searching for most frequently within your platform.

Now, to access the feature, click analytics style in your admin panel. 0:27 So, get into the admin panel and click analytics. This will open a separate page. We have four basic metrics in here for you. 0:43 And this metrics will vary slightly if you're an organization admin or- department admin. So, what you're seeing in here is the department page. 0:52 The first one I think is a total monthly sessions. So this is the total number of all sessions the users have accessed your app. 1:02 The session on average- which lasts in between two to five minutes. That's what we witness from our users. Normally it's the user coming into the platform to find a document and closing it within two minutes. 1:16 So, each session will be separated for every user. Any time the user opens the app, this will count as a new session. 1:23 The next metric in here, unique monthly, users. Those are unique users. So, if the same person accesses the app multiple times, they will only show up once on this graph. 1:35 Below, you'll find a number of sessions with file opens, broken down by a file name. The purpose of this graph has a better- of version is to give you a good indication of what are the most used and opened files within your space. 1:55 Now, this will only count a single file that the user opens. So, if a single- user have open multiple files that will only count as one. 2:08 we are working on improving this feature, on improving this metric. So, uh, in u course, you will be able to count the exact Count, of files that users are accessing. 2:20 But until then, this is the metric that will give you the best possible picture.
