Activate Ask Eolas for your Space

Turn Ask Eolas on in Admin-only mode, let it index your content, test it safely, then launch to all members.

Overview (what it is)

Ask Eolas is an AI-assisted, retrieval-first search that answers from your own Space content and cites the exact page/section it used. If there’s insufficient evidence, it returns a “no answer” message rather than guessing. 

Before you start

  • You must be a Space Admin.
  • Be ready to accept the Ask Eolas Terms & Conditions when prompted.
  • Indexing time depends on volume; as a guide, ~2–3 seconds per page. You can see indexing status in the Admin Panel.

Step-by-step: Activate & test

  1. Go to: Admin Panel → Content Management

    Scroll to Deactivated sections and find Ask Eolas.

  2. Activate for Admins only
    • Click Activate (Admins only).
    • Accept the Terms & Conditions.
    • Indexing starts: Ask Eolas securely reads your Space documents (including text in PDFs, images, diagrams) to build the search index. You’ll see “Indexing in progress” on your homepage until it completes.

  1. Wait for indexing to complete

    When finished, Admins can test Ask Eolas; end users won’t see the feature yet. (This allows you to validate accuracy, safety and suitability with your own content first.)

  2. Test the experience (Admin-only mode)

    • Open Ask Eolas from the tile/search bar.
    • Type real clinical or operational questions and follow the citation links to verify answers against your documents.
    • If an answer can’t be supported by your sources, Ask Eolas will show a clear “no answer” message.

  1. (Optional) Control which sources are in scope

    In the Admin settings you can keep answers Space-only or enable additional sources (e.g., other hospital guidelines, web search).
    • If you turn off web/other-guideline sources, Ask Eolas will not use them—answers come only from your Space content.

  2. Launch to everyone

    When you’re happy, return to the Ask Eolas section and click Activate for all members. You can disable it at any time (feature flag/kill-switch).


Monitoring & analytics

  • An analytics dashboard shows the questions asked (anonymised), unanswered queries and system errors/timeouts. Exports (CSV/API) are supported.


Data & safety notes (for your IG/Clinical Safety teams)

  • Retrieval-first with strict citations; dose calculations are disabled by design.
  • No patient-identifiable data is processed; staff should avoid entering PID.


Troubleshooting

  • I can’t see Ask Eolas: Confirm your Admin role and check Deactivated sections.
  • Indexing stuck/slow: Leave the tab; indexing runs server-side. Very large PDFs or image-heavy docs may take longer (2–3 sec/page guide).
  • Answers look wrong/out of date: Use the built-in feedback on the answer and/or the Admin Feedback tool to flag outdated content.
