      How to Access an Existing Space / Department / Trust / Hospital / Institution on Eolas Medical?

      This guide will walk you through the process of accessing an existing space after creating your account on Eolas Medical.

       

       

      Step 1: Navigate to Spaces

      Once you have created your account, you will land on the main screen. To find spaces:

      • Discover Spaces: Shows spaces you can join.

      • Your Spaces: Displays spaces you’ve already joined.

      If you haven’t joined a space yet, click on Discover Spaces.

      Step 2: Search for a Space

      1. Type the name of the hospital, trust, or department you want to join into the search bar.

        • If you’re unsure of the exact name, try different variations or abbreviations.

      2. Smaller departments may use specific names or acronyms, so consider these when searching.

      3. Once you find your desired department, it will appear in the search results below.

      Step 3: Join a Space

      1. Click on the space you want to join.

      2. Open Access Spaces:

        • If the space is set to accept everyone or your email domain has been pre-validated, click Explore Space to gain immediate access.

      3. Private Spaces:

        • If the space is private and requires admin approval, click Request to Join Space.

        • Add relevant information in the provided text box to help the admin identify you and understand why you’re requesting access.

      Important Notes for Personal Email Addresses

      • If you created your account with a personal email address, admins might reject your request by default as they may not recognize your name or organization.

      • Use the text box to provide additional information, such as your professional email or details about your affiliation, to help admins evaluate your request.

      Step 4: Submit Your Request

      1. After typing your information, click Request to Join Space.

      2. Your request will be sent to the space admins.

      3. Approval Time: Approval can take anywhere from a few minutes to several hours, depending on the admin’s availability.

      4. Once approved, you will receive an email notification granting you access to the space.

      Step 5: Use Invite Links or QR Codes

      • Many organizations provide direct invite links or QR codes to access their spaces.

      • If you have an invite link or QR code, scan or use it after creating your account to directly land in the desired space.

      0:11 To find new spaces, make sure you're on Discover Spaces. Any existing spaces will be visible in Your Spaces. To find the ones you have.

      0:24 If you haven't joined yet, click on Discover Spaces. On this screen, type in the name of the hospital, trust, or department you are trying to join.

      0:38 If you are unsure, try a few variations of the name. Say if I wanted to look for a specific trust, I could choose from any of these existing ones over here.

      1:05 To join the department, click on it. If the department is set to accept everyone, you will be able to explore this space. If your email domain has been pre-validated to access this space, you will also be able to access it right away.

      1:28 In that case, if I click explore space, I will gain access to it. However, some spaces are set to private access, and if you haven't received an invitation to join it, you might have to request access first.

      1:50 As an example, I can request to join a space here. I have a text box available here, so please add extra information for an admin to understand who you are and why you are trying to request access to this space.

      2:11 If you created an account using a personal email address, bear in mind that admins might reject you by default, as they might assume you're not part of their organization, and unless they know your name, they will not know who you are.

      2:27 So in that circumstance, you can utilize the provider's email address, and text box, and admins will be able to see this information when evaluating your request.

      2:41 Once you type the information, click request to join space. This request has been sent to the space admins. It might take anything from minutes to hours.

      2:52 Someone will have to review your access request and action it. Once this happens, you will receive an email. However, until then, you will have to be patient to access this space.

      3:06 Hopefully, this is a fairly straightforward process. Bear in mind that most organizations will provide an invite link or a QR code that you will have to scan.
