Creating and Reviewing Content in the New Editor

Learn how to write, review and publish guidance directly in Eolas using the new editor, with reviewers, tracked changes, comments and full version history.

Step-by-Step Guide

1. Create a New Document

  • Go to the folder where you want the content to live and click Add item.
  • Choose Create new document. A blank document opens in the editor.

2. Write and Format Your Content

  • The editor has the formatting options you'd expect along the top, similar to the word processors you already use.
  • Copy and paste and the usual keyboard shortcuts all work, so you can paste in an existing guideline and edit it directly.
  • Add a title at the top, change formatting on any highlighted text, and insert links.

3. Save and Track Your Draft

  • Save as you go. You can come back and keep editing over several days.
  • The bar at the top left shows the document's status (e.g. Draft), the owner, and a version number that goes up each time you save.
  • Your draft stays in the folder list, marked as a draft, until you're ready to move it on.

4. Send a Draft for Review

  • Use the review workflow to assign one or more reviewers to your draft.
  • Reviewers need an Eolas account and must be admins in the platform.
  • Click to notify the reviewer. The document's status changes from Draft to In review, so you can see where each document is in its life cycle.

5. Review a Document (for Reviewers)

  • Reviewers get an email notification. Clicking it opens the document directly.
  • Make changes in the document. Turn on track changes so the owner can see your edits line by line. Tracked edits also appear on the right-hand side.
  • Add comments to suggest changes or raise questions.
  • When you've finished, save and send the review back. The owner gets a notification of your changes.

6. Respond to Your Reviewer's Feedback

  • As the owner, open the document to see your reviewer's comments and tracked changes.
  • Accept tracked changes and acknowledge comments as you work through them.

7. Publish Your Document

  • When you're happy with the document, click Publish.
  • Set a review date. When that date approaches, the stewards are notified that the document needs reviewing.
  • Check the stewards: the people who'll get that review notification. You can add more stewards, and any admin in the organisation can be one.
  • Add any keywords or other metadata you want linked to the document.
  • Once it's published, the document's status updates to show it's live.

8. Update a Published Document

  • Open a published document to see the version clinicians are viewing, along with its expiry date.
  • To make changes, edit it directly. You don't need to start again or download and re-upload a file.
  • Saving creates a new draft version (e.g. version 2). Version 1 stays live for clinicians while you work on the new draft.
  • Send the new version through the same review workflow, with the same or different reviewers.

9. View Version History

  • Every version is kept in the version history, so you have a full record of how the document has changed.
